Who gets the bed on the front row, and who waits

On a full Saturday you decide in two seconds who still fits in. That decision is written down nowhere, so nobody else can take it, and on the busiest day of the year it goes through the one person who is already on the floor.

Who decides who still fits in on Saturday?

You do, always. Nivora builds the layer that prepares your decision rather than taking it: on every new booking the system reads what that guest has already done with you, how often they came, how often they did not turn up, and whether you have flagged them. A regular gets confirmed straight away. An unfamiliar name on the busiest Saturday in August stays on hold until the day before, when you know what actually comes free. And anyone you would rather not see again never goes through automatically, only past you.

The rules are your rules, written out in plain language and changeable at any moment: from how many people it has to come past you, from which hour, what deposit, and what happens with a group. Nothing in there is a setting we chose for you.

It is not a score per customer and it is not a profile. It is what is already sitting in your own bookings, read back at the moment it matters, with the reason shown next to the proposal so you can disagree with it in one click.

Why this lives in one head

You know your people. You know who comes every summer, who did not turn up twice, and who had words at the bar last year. None of that is written down, so you are the only one who can pick up the phone.

On the busy days yes gets said too early. On Wednesday there is room to spare, so everything gets confirmed. On Friday it turns out Saturday filled up with tables of two while three groups of ten had to be turned away.

And saying no costs the most. Turning away somebody who has been here twenty times does not happen on purpose. It happens because at that moment nobody knows they have been here twenty times.

How this is put together

Your rules, in your words

We write them down with you the way you say them out loud: from eight people it comes past me, after seven in the evening in July nothing goes through by itself, a first booking on a Saturday in August waits. You read them back in a sentence, not in a settings screen, and you change them mid-season when it turns out you were wrong.

Waiting is not refusing

A booking on hold gets a real answer: we are keeping it for you and you will hear on Thursday. That is a different thing from silence, and it is what makes the difference between a guest who books elsewhere and a guest who waits. On the day you decide, they hear either way.

You can always overrule it

Every proposal carries the reason next to it: five previous visits, or two no-shows, or nothing known. One click turns it around, and what you turn around is remembered. If the same kind of proposal keeps getting overruled, that is not the system learning quietly, that is us sitting down with you to fix the rule.

Does this sound familiar?

If two or more of these land, there is almost certainly something to gain.

  • Only you can decide who still fits in on Saturday
  • You have turned away somebody who had been coming here for years
  • Wednesday fills up with tables of two and no group fits in on Saturday
  • Somebody who did not turn up can simply book again the week after

What we are not going to claim

We are not going to say we know your guests better than you do. Everything in this comes out of your own bookings: how often somebody came, how often they did not, with how many people, and what you noted yourself. We buy no data in and we take nothing off social media.

We are not going to give a customer a score. A number from 1 to 100 on a human being is exactly what we are not building here, because you would not trust it and you would be right. What you see is the history and the proposal that follows from it.

And we are not going to say nobody ever ends up on hold who should not have. That happens, especially in the first weeks. Which is why every proposal sits in your list with its reason attached and takes one click to reverse.

Questions, answered

The things people usually want to know before they reach out.

The data is your own booking data and you are the one responsible for it under the GDPR, with us as your processor. Three things follow from that and we say them before you start. A guest can ask what you hold on them and you have to be able to answer. Keep to facts, so bookings, no-shows and cancellations, and not free notes about a person you would not read aloud to their face. And it does not stay forever: we agree a retention period with you and it deletes itself. If you want a lawyer to look at that, we would say yes.
